“When will it be ready?”
A car comes in, and two hours later nobody knows where it’s at.
The phone rings and someone asks about the car that came in on Tuesday. The mechanic working on it went out for a part, the work order is a sheet of paper on the bench, and you sent the quote over WhatsApp four days ago.
Answering that question costs you a walk around the shop. And by the time you’re back, someone is calling about another car.

Javier runs a workshop in Buenos Aires that fits out highway service vans: light arrows, bars and vinyl graphics. A car repair shop does something else, but the problem Javier came with is the one you have. The status of each vehicle lived in his head, and the quotes on loose sheets of paper.
Today each van has its work order with four stages and a checklist for each one, and the quote goes out numbered, with tax, as a PDF on his letterhead. When the client approves it, that same quote becomes the work order.

What goes into the one for a repair shop
A shop that repairs cars needs these six things, and they are what I put in:
- The work order for each car, with its stages, the checklist for each one and the photos the mechanic took.
- Numbered quotes with tax, as a PDF on your letterhead. The one they approve becomes the work order without entering anything again.
- Parts with stock, deducted when the job is handed over.
- Each vehicle’s record with its history: what was done, when and by whom.
- WhatsApp from the client’s record, with the message written, to say the car is ready.
- The day’s cash and a dashboard with what’s in the shop and what goes out this week.
They all start with the same things: users with permissions, a daily cash register, a dashboard with payments and due dates in plain sight, and WhatsApp from the client’s record. You open it from the shop’s computer and from your phone, and the database keeps every minute of the last seven days.
